Scope of Portfolio Responsibilities
It is critical to ensure the company's strategic direction by gathering and analyzing project information, creating clear reports and visualizations, and maintaining consistent and reliable data. This empowers informed decision-making and efficient resource allocation across the company projects.
Portfolio Project Delivery Responsibilities
Each project in the portfolio needs attention at all levels, including the macro level. By understanding how the project contributes to the company's goals, we ensure stable business development and safe waters for other projects.
Projects and initiatives emerging from the various specialist tribes sometimes overlap in a hidden way. It is important that these interdependencies are understood, communicated, monitored and acted upon in a timely manner.
Initiative Prioritization
The diversity of projects, project objectives and the scarcity of resources to achieve them require prioritisation. It must be transparent and understandable to all stakeholders to ensure buy-in. While the ultimate priority is often decided based on the experience and knowledge of top management, it is valuable to provide them with unbiased live assessments based on hard facts.
Documentation and Reporting
Various reporting options are designed to inform key stakeholders and identify hidden patterns that could jeopardise project success.
Project Data Consistency Monitoring
In a large company, there are numerous project data sources and a large number of people contributing to the data. The system that merges the data sources, regardless of their nature, for performing the consistency checks, builds a trusted dataset for further analysis, reporting, taxation, etc.
I developed the core project system, which brings together the diverse project-related technical and procedural infrastructure of the company's offices around the world. Using Microsoft technologies as the core, the system loops the flow of data from various sources by collecting and processing project data, producing outputs, sending notifications, providing backup functionality and managing permissions. The system is virtually free of charge to the company.
With no licensing or maintenance fees, a complex tool based on the available Microsoft platform offers great flexibility and comprehensive analysis of strategic-project data, taking into account non-monetary and non-physical factors such as the availability of commitments or voting points by business verticals, and more. The end product is a transparent, consistent and fact-based ranking and prioritisation. This is used to make informed business decisions.
Pipelining the projects from the idea till the close-down offers several benefits beyond just bringing order and harmonization: early identification of issues, optimization of handoffs between stages, improved resource allocation, practice consistency and predictability across projects, improved tracking of project metrics, etc.
A well-defined and standardized process flow is critical to effort tracking and capitalization success. I have developed a system for proactive monitoring and control. With the right tool and process in place, you can act before you react. Effort tracking allows us to know where we are investing our valuable resources, understand our capacity, and deliver what we have committed to and on time.
In today's environment, effort tracking is difficult to enforce. Among other things, the overhead and administration is huge, there is always room for error, and agile teams feel pressured and monitored. A workaround might be to use proxy values. These are unique to each company and team. I have designed and developed such a solution.
